Overview

Google and Yahoo made stricter sender requirements active in 2024. Microsoft added high-volume sender requirements for Outlook.com, Hotmail, and Live inboxes in 2025.

Treat these requirements as the baseline for commercial email in 2026: authenticate every stream, align the visible From domain, keep DNS clean, make unsubscribe easy, and monitor complaints. Failure to comply can result in mail being rejected, deferred, or routed to spam.

Requirements for All Senders

1. SPF and DKIM Authentication Publish SPF for every sending source and enable DKIM signing in each email platform. Google allows SPF or DKIM as a minimum for all senders, but practical bulk compliance requires both.

2. Valid Forward/Reverse DNS Your sending IP must have a PTR record, and the PTR hostname should resolve back to the same IP.

3. DMARC and Alignment Publish DMARC at _dmarc.yourdomain.com. Either SPF or DKIM must align with the domain in the visible From header.

4. Low Spam Rate and Easy Unsubscribe Keep complaint rates low, honour unsubscribe requests quickly, and include one-click unsubscribe for subscribed marketing mail.

5. RFC 5322 and TLS Send correctly formatted messages and support TLS when connecting to receiving mail servers.

Additional High-Volume Sender Requirements

If you send high volume to Gmail, Yahoo, Outlook.com, Hotmail, or Live inboxes:

1. Both SPF AND DKIM Required Make sure both mechanisms pass for your real sending platforms. Microsoft high-volume enforcement explicitly expects SPF, DKIM, and DMARC.

2. DMARC Policy Required At minimum: v=DMARC1; p=none

3. DMARC Alignment Either SPF or DKIM must align with your From domain.

4. One-Click Unsubscribe Include List-Unsubscribe and List-Unsubscribe-Post headers for subscribed marketing emails where required.

5. Reputation Monitoring Use Google Postmaster Tools, Yahoo Sender Hub, and Microsoft SNDS where available.
